Privacy Policy

1. Introduction

Careerist (“we”, “us”, “our”) provides a career consulting and recruitment operations platform for authorized teams (“users”). This Privacy Policy explains what personal information we process when you access or use the Careerist web application, related services (including optional browser tools that connect to Careerist), and public links we may send to candidates or clients (for example, shared reports or approvals).

By using the service, you acknowledge this policy. If you do not agree, do not use the platform. Where we process information on behalf of an organization, that organization is typically the controller of candidate and client data; we process such data under their instructions and applicable agreements.

2. Scope

This policy covers processing related to:

  • Staff and recruiter accounts (login, roles, profile details you provide)
  • Operational records you enter about leads, clients, candidates, jobs, applications, activities, follow-ups, and communications sent through the platform
  • Limited technical data needed to run and secure the service (see Cookies & similar technologies)
  • Optional Careerist browser extension features that submit job listings to your Careerist environment when you choose to connect and authenticate

Third-party websites (for example job boards you visit) have their own policies; this document describes Careerist’s processing only.

3. Categories of information

Depending on how you use Careerist, we may process:

  • Account & authentication: name, email, role, credentials or tokens used to maintain your session, and audit events tied to your account where enabled.
  • Recruitment & CRM data: names, contact details, employment and job-search information, notes, documents, and other fields your organization chooses to store for leads, clients, and candidates.
  • Jobs & pipeline data: job titles, companies, locations, descriptions, sources, stages, and related application or outreach records.
  • Communications metadata & content: information needed to send or log emails, WhatsApp, or similar messages through integrated channels, including delivery status where available.
  • Technical & security data: IP address, device/browser type, timestamps, and diagnostic logs used to protect accounts and troubleshoot issues.

4. How we use information

We use personal information to:

  • Provide, operate, and improve the Careerist platform and its features
  • Authenticate users, enforce role-based access, and protect against abuse
  • Facilitate recruitment workflows your organization configures
  • Send service-related notifications and (where permitted) operational messages
  • Meet legal, regulatory, and contractual obligations
  • Analyze aggregated or de-identified usage to improve reliability and UX

We do not sell your personal information. We do not use it for unrelated third-party advertising through Careerist.

6. Sharing and subprocessors

We may share information with:

  • Service providers who host infrastructure, databases, email/SMS, analytics, or security services, under confidentiality and data-processing terms
  • Your organization administrators and authorized users, as permitted by their roles
  • Recipients you direct through the product (for example when you send a client a public report link or approval link)
  • Authorities when required by law or to protect rights, safety, and security

7. Retention

We retain information for as long as your organization’s account is active and as needed to provide the service, resolve disputes, comply with law, and enforce our agreements. Specific retention may be governed by your organization’s settings and contractual terms. Backup copies may persist for a limited period after deletion.

8. Security

We implement administrative, technical, and organizational measures appropriate to the sensitivity of the data and the nature of our service. No method of transmission or storage is completely secure; we encourage strong passwords, role hygiene, and prompt reporting of suspected unauthorized access.

9. Cookies and similar technologies

The web application may use cookies or local storage to keep you signed in, remember preferences, and maintain security (for example session tokens where configured). Browser extensions that connect to Careerist use extension storage for authentication tokens as described in their documentation. You can control cookies through your browser settings; disabling essential cookies may affect login.

10. Your rights

Depending on applicable law, you may have rights to access, correct, delete, restrict, or export personal information, or to object to certain processing. Candidates and clients should often contact the organization that uses Careerist on their behalf. For account-holders, contact your organization’s administrator. We will assist where required by law and our agreements.

11. International transfers

Your data may be processed in countries where we or our providers operate. Where required, we use appropriate safeguards (such as contractual clauses) for cross-border transfers.

12. Children

Careerist is not directed at children. We do not knowingly collect personal information from anyone under the age required for lawful consent in their region for this type of service.

13. Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised version on this page and update the effective date. Continued use after changes constitutes acceptance where permitted by law.
